Register with HMRC
You will need to register with HMRC
for Online Services if you have not already done so. (If you have
sent your year end forms online, you are already registered; you
don't need to do so again).

Enter Company Details
Before you can send any information
to HMRC via the Online Services internet connection you will need
to have configured your system to use this facility.
To open the configuration screen
click File | Online Services | Configure.
Please
note: due to HMRC validation the following
fields are mandatory:
- Contact
Name (forename and surname)
- Contact
Email
- User
ID
- Password
You must enter this information
to allow you to send your year-end submissions online. You can also
use Online Services to send and receive information throughout the
year.
Use default settings and Use as
default
These boxes only appear if your
Earnie licence is for multiple companies. If you have several
companies that you want to use the same contact details for you can
set up a default. In one of your companies enter the contact
details and tick the 'Use as default' box ' for each of the other
companies tick the 'Use default setting' box.
Contact Details
It is particularly important that
you enter the correct email address as this is where HMRC will send
confirmation emails.
Check ID
Use this button to connect to HMRC
via the internet and check that your ID and Password are
correct.
Sender Status
Choose Employer if you are making a
submission for your company.
If you are making a submission on
behalf of another company you can choose Agent or Bureau. Select
the one that best describes your business - HMRC use this
information for statistical purposes only.
Role
Choose Principal if you are making
the submission on your own account.
Choose Intermediary if you are
submitting for someone else - for example, if you are running a
payroll bureau making the submission on behalf of a client.
Receive from HMRC
You can receive student loan
notices (SL1 and SL2) and tax coding notices (P6 and P9) from HMRC
via the internet.
- No - Do not receive any messages from HMRC
- Automatic at Login - each time you log in to EARNIE it will
automatically connect to HMRC via the internet and download any new
messages.
- Prompt at Login - each time you log in to EARNIE it will ask
you if you want to connect to HMRC via the internet and download
any new messages.
- Manually - each time you want to connect to HMRC via the
internet you must click on the Online Filing tab and click
Receive.
To apply the student loan or tax code
information to your employee data click on Process Mail on the
Online Filing tab to open the Messages screen. See Messages -
Process Mail for more information.
Sending the Works Number Update
(WNU)
A Works
Number Update (WNU) is an electronic log of company and
employee information that is sent to HMRC for statistical
purposes.
You need to send a WNU before you can use In-Year
Movements in EARNIE
If you have multiple companies you
will need to perform a WNU update from each company before sending any In Year
Movements.
Click on File | Online Services |
Send

Click on the WNU button to send the
information to HMRC.
Please
note: If you have not entered the NI number
for any particular employee you will see a warning
message. You can still send the WNU, but employees without a NI
number will not be included.
